Scheduling

Download for offline reading

Purpose and prerequisites

Review assigned shifts and coverage, request a trade, and manage schedule changes. Sign in to the correct organization. Your account needs scheduling access. Administrative controls depend on role; a job title alone does not establish access.

Employee walkthrough

  1. Open /dashboard/schedule, titled Weekly Schedule. Find the relevant week and select a shift to review its time, location and notes. Read-only detail uses Done Viewing.
  2. Under My Schedule Preferences, change Default view or Week starts on if helpful. These affect your view; they do not change your assigned shift.
  3. On mobile web, open /mobile/schedule, select My Shifts, and use Previous week or Next week.
  4. For a future shift with no trade pending, choose Request Trade. Choose Post Openly or select a coworker in the trade dialog. The screen states Manager approval required for all swaps.
  5. Check the displayed status: Trade Posted — Open to Claim or Awaiting Manager Approval. Use Cancel Trade Request if appropriate. A submitted request does not establish that coverage has been reassigned; verify the approved schedule.

Manager walkthrough

  1. Open Weekly Schedule and select an existing shift. If edit controls are available, review the assigned employee or --- Open Shift ---, Start Time, End Time, Break (Mins), Location, Recurrence, and Shift Notes.
  2. Choose Draft while preparing changes, then Save Context in the shift dialog. When the grid offers Save Changes (number), save those outstanding changes too and check the success/failure feedback.
  3. Review the intended week and filters before choosing Publish (number). Publishing applies to visible draft shifts. Verify the result; All Published is the no-visible-drafts label.
  4. If your authorized account shows Swap Approval Required for a pending pickup, inspect the request, then Approve or Reject. Confirm the resulting assignment after the action.
  5. Administrative settings on this page include Org week starts on, Max weekly hours, and Conflict detection. Import CSV is also administrative. These are separate from personal preferences.

Platform differences

  • Desktop web: scheduler grid, Save Context, bulk Save Changes, visible-draft publishing, personal preferences and calendar sync are available on desktop web.
  • Mobile web: dedicated My Shifts, Swap Board, trade dialog, and a manager Publish number Drafts control exist. Routes include /mobile/schedule/new and /mobile/schedule/swaps; their full workflows were not reviewed for this guide.
  • Native iOS and Android: unverified. Mobile web evidence does not establish native labels, offline support or behavior.

Troubleshooting

  • Scheduling access is restricted for this role. Ask an administrator to review your feature access.
  • Missing shift: check the week, selected view, organization, location filters and whether the manager has published it. Do not assume a blank screen proves no shift exists.
  • Missing Request Trade: the mobile web limits this to future shifts without a pending request.
  • Failed save/publish: retain your intended change, inspect the error, refresh and verify recorded results before retrying. Do not describe a failed action as completed.

Knowledge check

  1. Does Week starts on in personal preferences change everyone's schedule? Answer: No; it changes your view.
  2. Is Awaiting Manager Approval proof that a coworker has taken your shift? Answer: No; check the approved assignment.
  3. What should a manager review before bulk publishing? Answer: The week, filters, visible drafts, assignments, times and action result.

Time clock

Download for offline reading

Purpose and prerequisites

Record work and breaks against the correct person, location and job. Sign in with time-clock access and an assigned location. Depending on organization/location settings, camera access, location access, an activity tag, briefing acknowledgement or attestation may be required. Follow the actual prompts; this guide does not define pay rules.

Employee walkthrough

  1. Open /dashboard/time-clock. If a location selection screen appears, select your assigned location. In Kiosk Mode, use Search your name... and select your own name.
  2. Select the correct job. The screen displays Please Select a Job to Clock In when a job is required. Select any required activity tag.
  3. Choose CLOCK IN. Complete camera, location, briefing and attestation prompts when presented. A briefing may require Acknowledge & Clock In.
  4. Verify that the screen now shows an active work record and elapsed time. If the action fails, do not assume the record was created.
  5. Start a break with START BREAK and end it with END BREAK. Check the displayed working/break state after each action.
  6. At the end of work, choose CLOCK OUT, complete any required prompts, and check the resulting state or shift summary.

Mobile web: open /mobile/time-clock; the main labels are Clock In, Take Break, End Break, and Clock Out. Recorded status labels include Recorded Working and Recorded On Break. Do not interpret Clock records unavailable as clocked out.

Manager walkthrough

  1. Confirm the intended location and employee before using the shared kiosk flow. Do not select another employee casually.
  2. Review time-clock settings for the location when employees cannot select a job or meet required camera/location/activity conditions.
  3. If records are unavailable or an employee reports a missed punch, verify the actual records through the organization's approved review process. Editing timesheets or approving corrections is outside this guide's verified walkthrough.
  4. Organization settings may enable automatic clock-out when leaving a configured boundary. The application contains polling and location checks; confirm the configured behavior with your manager before relying on automatic clock-out.

Platform differences

  • Desktop web: location/person kiosk selection, job and optional activity selection, START BREAK/END BREAK, and conditional acknowledgements are present.
  • Mobile web: dedicated recorded-state display, Refresh clock records, conditional clock-out photo capture, and Take Break/End Break are present.
  • Native iOS and Android: unverified. No claim is made about native offline punches, background geofencing or matching camera requirements.

Troubleshooting

  • No locations assigned to you. Ask an administrator to confirm your assigned location and organization.
  • Disabled clock-in: check job selection, required activity tag, location restrictions and camera processing.
  • Location/camera failure: check browser permissions and the displayed error; do not bypass a required organization condition.
  • Clock records unavailable: use Refresh clock records, check connectivity, then ask the manager to verify records if the problem persists. Avoid repeated submissions until the existing record is checked.
  • Clock-out failure: verify whether an active entry remains, preserve the failure details and contact the manager.

Knowledge check

  1. What should you select in Kiosk Mode? Answer: Your own name and the correct location/job.
  2. Does Clock records unavailable mean you are clocked out? Answer: No; the current record cannot be reliably read.
  3. What mobile web control ends a break? Answer: End Break.

Messaging

Download for offline reading

Purpose and prerequisites

Send team or direct messages within your organization. Your account needs messaging access. Check the recipient/channel before sending. A scheduled or queued message is not proof of immediate delivery or reading.

Employee walkthrough

  1. Open /dashboard/messages. Under Channels, select General Team or an available location/group. For a direct conversation, select a coworker under Direct Messages.
  2. Verify the conversation heading, enter your message and choose the paper-plane send button. The desktop control uses an icon.
  3. To attach an image, choose the camera button titled Attach photo, select the file, review the preview and send. Check any upload/send error.
  4. Use channel Pin/Unpin and Mute/Unmute controls as needed. Muting concerns notifications; it does not remove the conversation.
  5. Use Load earlier messages when available to retrieve older history.

Mobile web: open /mobile/chat, use Search people & groups..., then select a channel or coworker under Direct Messages. The plus control (New conversation) directs you to tap a coworker; it is not a separate creation wizard. The conversation route is /mobile/chat/[id]. Enter text in Message..., then use the button with accessible label Send message. Attach image and Emoji picker controls are also present.

Manager walkthrough

  1. Choose the intended team channel, location group or coworker. Managers Only appears conditionally for administrative users on web; do not assume every person with a manager title has it.
  2. The desktop composer options include Schedule, Auto-Expire, and a location selector defaulting to No Location. Choose the appropriate option, then send and check its feedback. Check the resulting message state before relying on scheduled delivery or expiration.
  3. Desktop Audit Mode disables sending. If you intend to send a message, exit audit mode and choose the actual conversation first.
  4. Treat emergency-alert functions as separate from ordinary messaging. Ordinary messages are not emergency alerts.

Platform differences

  • Desktop web: channels/direct messages, photo upload, history loading, pin/mute preferences, scheduled/expiring/location options and conditional audit mode are present.
  • Mobile web: conversation list/search, dedicated thread, image attachment, emoji picker and Send Later option exist. Confirm scheduled-send behavior before relying on it. Do not rely on the voice-call icon to place a call.
  • Native iOS and Android: unverified. Do not infer native feature parity or notification behavior from mobile web.

Troubleshooting

  • No access: ask an administrator to review the messaging feature permission.
  • Empty send: mobile text sending requires nonblank text and a signed-in user; desktop also permits photo-only messages.
  • Failed image/send: preserve the draft and inspect the error. Verify whether the message already appears before retrying.
  • Right to Disconnect or queued feedback: desktop application can queue messages based on configured quiet hours. The word “offline” in this feedback does not establish network disconnection. Check the state instead of assuming immediate delivery.
  • Missing history or image preview: use available history retry controls or Open photo fallback. Do not claim inaccessible history contains no messages.

Knowledge check

  1. How do you start a mobile web direct conversation? Answer: Tap a coworker under Direct Messages.
  2. Can you send while desktop Audit Mode is active? Answer: No; sending is disabled.
  3. Does a queued message prove immediate delivery? Answer: No; verify the resulting delivery state.

Time Off and PTO

Download for offline reading

Purpose and prerequisites

Request leave, view recorded balances, and review request status. Sign in to an active account for the correct organization. Available leave types and rules depend on company settings. A balance is information shown by the application, not a promise that a request will be approved or paid. Approval controls require authorized access.

Employee: desktop web

  1. Open /dashboard/time-off and select Request Time Off.
  2. In New Leave Request, choose Type of Leave, Start Date, End Date, and Hours Per Day. Add Reason (Optional) if useful; avoid unnecessary sensitive details.
  3. Review the dates and hours, then select Submit Request.
  4. Open My Requests. Check each requested date and its status, then reload to confirm the records remain. Submission is a request, not approval.

The desktop form submits one request per eligible weekday and skips Saturday and Sunday. It can also skip blackout dates, dates lacking required advance notice, or dates affected by cooldown rules. A range can therefore be only partly submitted. Read any skipped-date messages and verify the individual records.

Employee: mobile web

  1. Open Settings → Time Off (/mobile/time-off).
  2. Tap the + button, whose accessible label is New time off request.
  3. Complete Request Time Off, choosing the leave policy, date range, hours, and optional reason, then submit the form.
  4. Use All, Pending, Approved, or Denied to inspect your requests. A pending request has an X control labeled Cancel request.

Important platform difference: this mobile web form iterates all calendar days, including weekends, while the inspected desktop form skips weekends. Configured date restrictions may also differ between these forms. Confirm the intended dates with your manager and follow company rules.

Manager or authorized approver

  1. Open /dashboard/time-off and select Team Approvals if it is available for your account.
  2. Review the employee, leave date, hours, reason, and any conflict information before deciding.
  3. Select Approve, or select the denial control, optionally enter Denial Reason (Optional), and select Confirm Deny.
  4. Check the recorded decision after reloading. For multiple requests, review all selected records before using Approve Selected or Deny Selected.

On mobile web, authorized accounts may see My Requests and Team (count). Team requests expose Deny and Approve. Approval controls require the appropriate account permissions; a manager title alone does not guarantee access. Do not infer authorization from a hidden or visible control alone.

Troubleshooting

  • No weekdays found in the selected range: the desktop range contains only weekend dates. Verify the company's weekend-leave process with your manager.
  • Blackout/advance notice/cooldown message: check the specific dates and ask the manager about the configured policy.
  • Balance shows —: mobile web has no loaded balance for that policy; this does not mean zero hours.
  • Success message but missing request: Reload, inspect the records, and report the missing dates before resubmitting to avoid duplicates.
  • No approval tab: ask an administrator to check your permitted role and organization scope.

Native platform evidence

iOS and Android steps are unverified in this guide. Mobile web is not evidence of native app parity. Confirm native build versions, labels, weekend handling, and approval permissions before publishing native instructions.

Knowledge check

  1. Does submitting leave approve it? Answer: No; inspect the recorded approval status.
  2. Does a desktop date range necessarily submit every day? Answer: No; weekends and dates failing configured checks can be skipped.
  3. What should you do when the success message appears but no record survives reload? Answer: Check the records and report the issue before creating duplicate requests.

Availability

Download for offline reading

Purpose and prerequisites

Tell the scheduling team when you can work. Sign in to the correct active account. Availability preferences do not remove existing shifts and are separate from formal PTO. If you cannot work an assigned shift, use the company's shift-swap or manager contact process.

Employee: desktop web

  1. Open /dashboard/availability.
  2. Under Weekly Recurring Schedule, toggle each day between Available and Unavailable. Enter the start and end times for available time slots; review every day rather than assuming displayed defaults are your saved preferences.
  3. Under Scheduling Preferences, review Target Weekly Hours and Max Weekly Hours.
  4. Add relevant Specific Dates Off. The page describes these as days off without formal PTO; use Time Off for a PTO request.
  5. Select Save Preferences, or Update Request when a previous change is pending. Employees without administrative access submit weekly availability for review; Pending Approval can be shown.
  6. Reload to verify the request or preferences were retained and follow up on approval if required.

Employee: mobile web

  1. Open Settings → Availability (/mobile/availability).
  2. Toggle each day's availability. Expand an available day to edit the start and end times.
  3. Review Dates Off and add or remove dates as needed.
  4. Select Save, then verify the saved or pending state after reload.

The mobile web editor has a different layout and does not expose the desktop Target/Max Weekly Hours fields in this web editor. Its success toast does not explain that non-admin weekly changes are routed into pending availability for review. If your manager has not approved a change, do not assume your live weekly availability has changed.

Authorized administrator: review or edit

  1. Open /dashboard/availability with authorized administrative access.
  2. If shown, use the employee selector to choose the intended employee before editing.
  3. Under Pending Approvals, verify the employee's request and use Approve or Reject.
  4. Reload and verify the resulting availability or pending status before relying on it for scheduling.

The employee selector and approval controls require administrative access. Do not promise every manager this access. The visible approval card identifies the employee but does not provide a detailed comparison of old and requested time slots; confirm the requested change through an authorized view before deciding.

Troubleshooting

  • Save appeared successful but live hours did not change: non-admin weekly changes require approval; ask the scheduling team to check Pending Approvals.
  • A scheduled shift remains: this is expected. Availability changes do not cancel existing shifts.
  • Displayed Monday–Friday 9–5 defaults: the desktop editor uses these when no availability array is loaded. Review and explicitly set your actual preferences.
  • Dates Off mistaken for PTO: open Time Off to request formal leave.
  • Saved message but state disappears after reload: report it. A saved message alone does not confirm the change was retained.

Native platform evidence

iOS and Android labels, time-slot restrictions, approval behavior, and offline persistence are unverified in this guide. These mobile web instructions must not be presented as native instructions.

Knowledge check

  1. Does changing availability remove an existing shift? Answer: No.
  2. Is Specific Dates Off the same as requesting PTO? Answer: No; formal leave uses Time Off.
  3. What happens to a non-admin weekly availability edit in this workflow? Answer: It is routed into pending availability for manager/administrator review.

Onboarding

Download for offline reading

Purpose and prerequisites

Complete company setup requirements and review assigned onboarding steps. Sign in with your own active account in the correct organization. Requirements depend on company settings and assigned role. The application has several onboarding surfaces; an empty checklist or bypassed gate does not establish that all onboarding obligations are complete.

Employee: connected onboarding status

The Onboarding Checklist at /dashboard/my-onboarding shows status from a configured Gusto integration for a linked employee. It is not a general checklist for every company.

  1. Open the page only if your manager has confirmed this integration is configured for you.
  2. Review the assigned requirements. Use Open when available to follow the assigned resource or onboarding process.
  3. Complete the steps through the assigned onboarding process. Ask your manager to confirm completion in the connected provider.
  4. Reload to review the provider's recorded status. Do not rely on Mark Done or All Set alone to establish completion in Gusto.

No onboarding steps found does not establish that onboarding is complete. Ask your manager to confirm your requirements and account linkage.

Employee: contract and video gate

Where the onboarding gate is displayed on web/mobile web:

  1. Read Review Contract. If the text is missing, contact your manager.
  2. If you agree after reviewing it, check I have read and agree to the terms and select Sign & Continue.
  3. Under Watch Safety Video, watch the configured training material and select I Have Finished Watching after completion.
  4. Verify the application allows you to continue and that progress remains after signing in again.

These instructions describe the application's acknowledgement controls, not legal advice or proof of a legally sufficient signature. The gate uses configured roles and requirements; administrators and impersonating sessions bypass it in this workflow. A manager seeing no gate therefore cannot use that as proof of an employee's completion.

Manager or administrator: configuration and employee setup

  1. Open /dashboard/settings and its Onboarding settings section when authorized.
  2. Review Contract Requirements → Require Signature and provide the intended Contract Terms & Conditions.
  3. Review Training Video → Mandatory Viewing and supply a working Video Embed URL. Check the applicable role settings before requiring the gate for employees.
  4. When creating an employee through the employee wizard, review Send Onboarding Link. Verify invitation delivery and account setup with the recipient before treating the invitation as completed onboarding.
  5. Use /dashboard/people and its onboarding area only after validating your configured recruitment/new-hire workflow. The recruitment area includes separate candidate packets and /onboard/[id]; these must not be confused with the signed-in employee checklist.

Ask your administrator for the approved recruitment packet and reminder process.

Platform differences and unavailable route

  • Desktop connected status: /dashboard/my-onboarding, requiring configured Gusto integration and a linked employee.
  • Mobile web: the mobile layout includes the contract/video gate; a standalone equivalent mobile checklist route has not been verified here.
  • /onboarding: the page displays System Under Maintenance (Onboarding Module). Do not direct users there as a working onboarding workflow.
  • Native iOS and Android: labels, deep links, gate behavior, and completion synchronization remain unverified.

Troubleshooting

  • Status Unavailable: sign in to your active account; ask your manager if it persists.
  • Onboarding sync is disabled: the checklist asks an administrator to enable Checklist & Onboarding in Settings → Integrations.
  • No contract text provided: contact your manager before acknowledging missing material.
  • Video does not load: report the configured URL and use a manager-approved way to access the assigned training.
  • Mark Done success disappears after reload: report the step. A local success message alone does not confirm recorded completion.

Knowledge check

  1. Does No onboarding steps found mean onboarding is complete? Answer: No.
  2. How do you verify checklist completion? Answer: Complete the assigned onboarding process and ask your manager to verify the connected provider status.
  3. Can an administrator bypassing the gate prove an employee completed it? Answer: No; the gate bypasses administrative and impersonation sessions.

Ask the Staffr Assistant for help with these workflows. Questions about your actual schedule or balances require online access. Downloaded guides do not contain live company records.
